When the invoice does not match
What to do when the invoice has the wrong amount, contains assignments that are not reconciled or relies on a basis that looks wrong, and what applies to prices, surcharges, driving and call-out fees.
This is part of Invoicing and settlement for partners.
When the invoice does not match
A row or line that needs correction is highlighted in red. Click on it to see what is wrong and what you need to do. The portal will suggest one of these solutions:
- Credit note. You have invoiced too much or invoiced an assignment that does not belong here. Create a credit note in your invoicing software and upload it using Upload credit note.
- New invoice. You have invoiced too little. Create a new invoice for the difference and upload it using Upload invoice.
- Contact us. We cannot find the assignment. Use Questions about the basis?.
You cannot alter an invoice you have sent. Always correct it with a credit note and, if necessary, a new invoice. A credit note references the invoice it credits, and we deduct it from the invoice during verification. A line that has been invoiced and credited again shows as Credited, NOK 0, and you do not need to take further action.
If the billing basis contains a deduction, you must credit the deduction before you can submit. Not invoicing an assignment that is ready does not block submission. The assignment remains marked as Ready to invoice, and you can submit it later.
The invoice contains assignments that are not reconciled
If you have invoiced an assignment that is still waiting for us, the line is not red and is not an error. It shows as Awaiting reconciliation, and the card states The invoices contain assignments that are not yet reconciled. You cannot submit the invoice until all assignments on it have been reconciled.
You have two choices:
- Wait. Once we have reconciled the assignment, the invoice will match and you can submit it.
- Get paid for the rest now. Credit the entire invoice with a credit note, and send a new invoice containing only the ready assignments. Upload both, and submit. Invoice the pending assignment once it has been reconciled.
You will not receive payment for an invoice until all assignments on it are reconciled and OK. See Why is the work pending?.
What do I do if the invoice basis appears incorrect?
Address any errors or discrepancies before invoicing. Use Questions about the invoice basis? at the bottom of the Invoice basis card. The portal automatically attaches the month, customer type, and the invoice basis you are viewing. You will receive a reply under Messages.
See Questions and errors in the invoice basis for details on what to check and include in your message.
What about prices and surcharges?
Prices and surcharges follow what you have agreed with Vaskeladden. The price for an assignment is stated on the assignment itself. For B2C surcharges such as balcony, storage room, garage, and fireplace, the standard partner price excluding VAT from the surcharge catalogue applies, unless the assignment has a specific price or you have an individual written agreement. In that case, that agreement applies. You see the partner price, not the customer price. If anything is missing or appears incorrect, request clarification using Questions about the invoice basis? on the Invoice basis page before adding the amount to your invoice.
Driving and call-out fees
The fixed price for the assignment must cover all your costs. Vaskeladden does not reimburse partner driving or parking expenses. A driving fee on the customer's order does not entitle the partner to a separate reimbursement.
In the event of an unsuccessful call-out without reasonable cause from the customer, the customer is billed 1,500 NOK. If the customer pays this, the partner can also be paid 1,500 NOK. Payment is not automatic or guaranteed upon attendance. Vaskeladden must confirm whether the partner amount is inclusive or exclusive of VAT, and the amount must be included in the invoice basis before you invoice it. Clarify this before invoicing.
