Problems submitting an invoice

What to do when the invoice sent via EHF or email does not show, when the PDF cannot be read, when Submit is not active, when the message is not sent and when the invoice has already been submitted.

This is part of Questions and errors in the invoicing basis.

The invoice sent via EHF or email is not showing

An invoice you send as EHF or by email appears under Your invoices marked Received via EHF/email. If you cannot see it, check the following:

  • That the organization number on the invoice matches the company registered with us.
  • That you sent the email to invoice@vaskeladden.com, with the invoice as a PDF attachment, or the EHF to organization number 930 307 416.
  • That the recipient is Vaskeladden AS, org. no. 930 307 416, Tordenskiolds gate 2, 0160 Oslo.
  • That the invoice date is September 1, 2026 or later.
  • That you are looking at the correct month. We place the invoice in the month the lines belong to.

If everything is correct, write under Messages and provide the invoice number and invoice date. If the invoice was sent to the wrong recipient, create a credit note and a new invoice with the correct details.

The invoice could not be read

If it says Could not be read next to the document, we could not find the invoice lines. Remove the document and upload a clear PDF without a password, directly from your invoicing software. We often cannot read an image or a scanned invoice. Each PDF can be a maximum of 10 MB and 20 pages.

If we could not read all the lines, or if they do not add up to the amount excl. VAT, the portal will indicate this. Upload a clearer PDF or a corrected invoice.

Submit is not active

The portal displays the reason next to Submit to Vaskeladden. Common reasons:

  • Upload the invoices for the period first. There are no invoices for the month yet.
  • Wait until all documents are read. We are still reading the PDFs.
  • Fix the errors first. Something on the invoices needs to be corrected. Click a red line to see what you need to do.
  • A deduction must be credited before you can submit. Create a credit note for the deduction.
  • You can submit when all assignments on the invoices are reconciled. An invoice has an assignment waiting on Vaskeladden.
  • No invoice line matches work that is ready to be invoiced. The invoices apply, for example, to work that is pending or that has been submitted previously.
  • The basis must be clarified with us before you can submit. Use Questions about the basis?.

An invalid KID number also stops the submission. Create a credit note and a new invoice with the correct KID, or without a KID. Two invoices cannot share the same invoice number in the same year.

If the page cannot retrieve the check, press Try again. If you still cannot submit, start a conversation under Messages and state the month and what the page shows.

Message was not sent

If sending the case fails, the form retains your text while it remains open. Try sending again. Copy the text before closing the form or refreshing the page, so you have it available if the error persists.

I have already submitted the invoice

An invoice you have submitted cannot be changed. If something is wrong, create a credit note and, if applicable, a new invoice, and upload them under Finance. Changes Vaskeladden registers after you have submitted will appear as a correction in that same month. If you have questions about an invoice, write in Messages and state the invoice number, the month, and what you believe is incorrect. See also Invoicing and settlement for partners.
