Submit the invoice

How to upload the invoice in the partner portal or send it by email or as EHF, and how to submit it to Vaskeladden.

This is part of Invoicing and settlement for partners.

Uploading the invoice in the portal

  1. Select the month you are invoicing for.
  2. Create the invoice in your invoicing system. You can create one invoice per assignment or one combined invoice for the month.
  3. Under Your invoices, click Select PDFs, or drag and drop the PDFs anywhere on the page.
  4. Wait until the portal has read the documents. The card displays Reading … of … documents while in progress.
  5. Check whether each assignment says Correct in the Invoice column. Fix any red entries; see When the invoice does not match.
  6. Submit when the card says The invoices match. You can submit.

You can upload up to 20 PDFs at a time, up to 10 MB and 20 pages per file, without password protection. Upload the PDF generated from your invoicing software, not an image or scan. A document you have not yet submitted can be removed using Remove.

If the invoice applies to a month other than the one currently open, we place it in the month the lines belong to and notify you in the card, for example, "The invoice applies to August 2026 – we have placed it there."

Send invoice by email or as EHF

You can also send the invoice by email to invoice@vaskeladden.com, with the invoice attached as a PDF. Norwegian and Swedish partners can send electronic invoices via Peppol to Vaskeladden AS, with Peppol ID 0192:930307416. The format is Peppol BIS Billing 3, which is used for EHF in Norway and e-invoices from Fortnox in Sweden, among others. See invoices from Swedish partners for setup in Fortnox and Swedish invoice details. We process the invoice in the same way, and it will appear under Your invoices marked Received via EHF/email. It undergoes the same check and receives the same error messages as a PDF you upload yourself. The portal displays invoices and credit notes dated 1 September 2026 or later.

An invoice sent via EHF or email only appears when we can see that it comes from your company and is addressed to Vaskeladden:

  • The organization number on the invoice must match the one your company is registered with us under.
  • The recipient must be Vaskeladden AS. Norwegian partners write the organization number 930 307 416. Swedish partners use the Swedish invoicing details under Invoices from Swedish partners. If the number is missing, the full name and address must appear on the invoice: Vaskeladden AS, Tordenskiolds gate 2, 0160 Oslo.

We do not recognize the sender by name, address, or amount. If the invoice is still missing after a few days, check these details, or write to us under Messages with the invoice number and invoice date.

If such an invoice matches completely, we submit it for you. Each invoice is handled on its own, also when another invoice for the same month needs correcting. If it does not match, it will remain in the portal with the errors. You will not receive a separate message either way, so check Finance after you have submitted the invoice. If it appears there without errors and has not been submitted, click Submit to Vaskeladden yourself. If the invoice has already been paid, it shows as Paid and cannot be submitted again. If we cannot confirm the payment, it shows as Payment unverified, and we will look into it.

Submit the invoices

When everything matches, click Submit to Vaskeladden. Before submitting, check the invoice number and invoice date under Confirm invoices. We have read them from the PDFs; correct them if anything is wrong. Tick the box to confirm you have checked them, then submit.

Each invoice is submitted on its own, so an invoice that needs correcting does not hold back the others. A credit note is submitted together with the invoice it corrects. While in progress, the rows show as Submitting…. When complete, the card shows Submitted with the date, and the assignments show as Submitted with the invoice number. Submitted means we have received the invoice. It has not yet been approved or paid.

If the button is inactive, the portal displays the reason next to it. Common reasons include a document not being fully processed, a PDF that could not be read, something on the invoices requiring correction, a deduction needing to be credited, or an assignment on the invoices not yet being reconciled.
