Settlement and invoicing
[!note]- What does the invoice basis show?
Under Finance, you will find Invoice basis. Here you can see the work for the month you select: what is ready to be invoiced, what has been submitted, what is pending and why, and adjustments, with amounts excl. VAT. An assignment becomes Ready to be invoiced when Vaskeladden has reconciled it. Before that, it is listed as Awaiting Vaskeladden, and only reconciled assignments can be paid.
See How to read the invoice basis for the statuses and reasons why work is pending.
[!note]- When can I send an invoice?
For one-off assignments and specialized cleaning, you can invoice for the 1st–15th at the earliest on the 20th of the same month, and for the 16th–end of the month or the entire month combined at the earliest on the 5th of the following month. Regular cleaning is always invoiced for the entire month, at the earliest on the 5th of the following month. The portal always displays the full month.
We use the days following each period to reconcile assignments and register non-conformities, discounts, and adjustments. You can submit what is ready, even if other assignments are pending, and submit the rest later. The payment deadline follows your contract.
[!note]- How do I invoice Vaskeladden?
Create the invoice in your invoicing system, with one invoice per assignment or one combined for the month. Upload it under Finance in the card Your invoices, using Select PDFs or by dropping the PDFs there. You can also send it by email to invoice@vaskeladden.com, or as an EHF invoice if the company is Norwegian. It will then appear as Received via EHF/email, as long as your organization number is stated on the invoice and the recipient is Vaskeladden AS, org. no. 930 307 416.
We match each invoice line to an assignment and show if it matches. When everything is correct, press Submit to Vaskeladden. You do not need to attach any invoice basis.
See Invoicing and settlement for partners for the procedure and what the invoice must contain.
[!note]- What do I do if the invoice is incorrect?
Click on the red line, and the portal will show what is wrong and what you should do. You cannot edit an invoice. If you have invoiced too much, create a credit note. If you have invoiced too little, create a new invoice for the difference. Upload them in the same place.
If you have invoiced an assignment that has not been reconciled yet, there is no error, but you cannot submit the invoice until the assignment is reconciled. If you want to get paid for the rest now, credit the invoice and send a new one containing only the assignments that are ready.
[!note]- What do I do if something is wrong in the basis or if I disagree?
Use Questions about the basis? at the bottom of the Invoice basis card. Select question, error, or Dispute amount, and describe what the matter concerns. You will receive an answer under Messages. Submitting this does not automatically change the amount in the basis.
[!note]- When will I get paid?
Once you have submitted the invoice, we approve it and pay within the payment deadline in your contract. Set the due date at least 10 days after the invoice date. The portal shows how the invoice will be paid: Paid with KID … or Paid with message: Invoice …. A KID is not required, but an invalid KID must be corrected before you can submit.
If the payment deadline has passed, write in Messages with the invoice number, invoice date, and the relevant month.
[!note]- Do you deduct anything from the invoice basis in case of complaints?
A non-conformity does not automatically result in a deduction. While the non-conformity is open, the work waits to become ready for invoicing. If a deduction is applied, it appears as a separate line in the basis, and you credit it with a credit note before submitting. Request clarification via Questions about the basis? if you disagree or are missing an explanation.
[!note]- Can I download the invoice basis?
No. You do not need to attach any basis. When you submit the invoices, we generate the basis for the work they cover, and link it to the invoices.
[!note]- Do I have a direct financial relationship with the customer?
The customer pays Vaskeladden. You invoice Vaskeladden for assignments through Finance in the partner portal.
[!note]- How much do I earn as a partner?
Prices and any other financial terms follow your agreement with Vaskeladden. Check partner prices in the portal and request clarification if an amount appears incorrect.
